Too Many Internal Meetings?

We all know that meetings are essential in business but too many internal meetings and meetings that go on too long can definitely be counterproductive.

There is plenty of information available about how long meetings should last (before they become counterproductive) but what about how often you should hold internal meetings?

There is a skill in striking the right balance for your business between too many and too few.

When did you last review your regular meeting sequencing/cadence?

There is no doubt that the traditional meeting format has changed since the pandemic and the results of a recent McKinsey & Company survey showed that 80% of executives were considering or already implementing changes in meeting structure and cadence in response to the evolution of how people worked during the pandemic.

In a recent Pabasso – Peer Advisory Board Associates meeting one of our members sought guidance from the group of established and experienced business leaders on meeting cadence. This prompted us to do a brief survey on the length of internal meetings.

We all know that the most effective form of communication for the human race is face-to-face and that the telephone has been moved into second place by video calls – one of the few tangible benefits to emerge from the pandemic!

It was therefore pleasing to note that the survey results confirmed that most ‘important’ meetings still take place face-to-face but that there is now a place for the video call.

The cadence of meetings differs from business to business, often determined by the size, complexity, and geographical spread of the business and there is certainly no one-size-fits-all all.

  • Board Meetings: 70% Monthly, 30% Quarterly, 10% Bi-Monthly
  • Shareholder Meetings: 20% Quarterly, 10% Annually, 70% as required
  • SLT/Management Meetings: 50% Monthly, 40% Weekly, 10% Bi-Monthly
  • Team ‘Away’ Sessions: 30% Annually, 20% Quarterly, 25% Biannually, 25% Biennially
  • Strategy Sessions: 30% Annually, 20% Quarterly, 10% Biannually
  • Individual 121s: 60% monthly, 10% Annually, 10% Fortnightly, 10% Quarterly, 10% Weekly
  • Individual Appraisals: 50% Annually, 30% Biannually, 20% Adhoc
